Work Bay and technician management

In this user manual, you will find the information concerning the Work Bay / Technician management window in which you can configure the work bays of your shop. You will find how to add, edit and delete bays and we will also detail the options.

To open the Work Bay / Technician management window, in the GEM-CAR Main-menu, go to Planning > Work Bay / technician management.

Add work bays

To add work bays, follow the instructions below.

  1. Select the + button.
  2. Configure the work bay.
  3. Select the Diskette to save.

Edit work bays

To edit work bays, follow the instructions below.

  1. Select a work bay on the list.
  2. Configure the work bay.
  3. Select the Diskette to save.

Delete work bays

To delete work bays, follow the instruction below.

  1. Select a work bay on the list.
  2. Select the - button.
  3. Select the Diskette to save.

Work bay configuration

In this section, you will find the information concerning the configuration options for work bays.

Number: Enter the bay number in this field. Once saved, it cannot be changed.

Description: Enter a name for the bay or the name of the technician associated with it in this field.

Initials: Enter the initials of the technician associated with the bay in this field. These initials will appear on invoices alongside the job descriptions. If you don't want them to appear on invoices, you can hide them enabling Option 75 - Hide the bay’s initials on the invoice in the GEM-CAR General information configuration window under the Options tab.

Cost: Enter the labor cost for jobs in this field. This value should ideally be the technician’s salary plus a margin of 20 to 25%.

Type of bay: Use this drop-down menu to allow, disallow, or to be warned before invoicing customers when jobs are assigned to this bay.

Lunch: Use the Start time and End time fields to configure a period during which no work can be scheduled. It will also not be available for scheduling in the Calendar.

Default Bay: Enable this option to choose the default bay. This bay will then always be selected by default by GEM-CAR when assigning jobs. We recommend that you give it a neutral name such as Unassigned and that you don't assign it to a technician. There can be only one default bay and checking this box will remove the default status that was previously attributed to another bay.

Deactivate: Enable this option to disable the bay without deleting it. You can use this option, for example, to disable a bay temporarily. It can also be done daily if technicians work part time.

Multistation configuration

Work bay configurations will spread over all computers on the network. For this, you need to restart all computers. If changes only apply to one computer after restarting, GEM-CAR is probably not installed on a multistation configuration. In this case, contact us to make the configuration.

Barcode sheet

Select the Print labels with barcodes button to print a sheet containing all work bay and technician information in barcode format. You can then scan them with a barcode reader such as GEM-SCAN.
