GEM-CHECK

In this user manual, you will find the information about how to configure and use GEM-CHECK, the digital inspection sheets module fully integrated to GEM-CAR. It is the digital evolution of GEM-WORK, its paper version, that you can also continue to use.

Among the available GEM-CHECK inspection sheets, you will find:

  • Front-end inspections including for brakes, suspensions and steering components;
  • General overall inspections to be performed during oil changes;
  • 5,000 mile OEM recommended service and maintenance inspections;
  • Spring and fall inspections;
  • Pre-purchase vehicle inspections;
  • Full brake system inspections;
  • Alignment and geometry component inspections;
  • Transmission inspections and fluid analyses;
  • Cooling system inspections and fluid analyses;
  • Air conditioning system inspections;
  • Electronic system diagnostic inspections;
  • Warning light diagnostic inspections;
  • Tire sensor warning light diagnostic inspections;
  • ABS system warning light diagnostic inspections; and
  • Air Bag warning light diagnostic inspection.

GEM-CHECK configuration

In the next subsections, you will find the information about how to activate the GEM-CHECK module and associate GEM-CHECK inspection sheets to jobs.

GEM-CHECK activation

Follow the steps below to activate GEM-CHECK.

  1. Enable Option 111 - Use GEM-CHECK in the General information configuration window.
  2. From the Local configuration window, under the General data tab, check the IE 11 option in the Internet Explorer version section.

Associate GEM-CHECK inspections sheets to jobs

Follow the steps below to associate GEM-CHECK inspection sheets to jobs.

  1. Access the Product/Job code management window.
  2. When creating or editing job codes in the inventory, select a GEM-CHECK inspection sheet using the Report model drop-down menu.
  3. Click on the diskette button to save.

For the Report model drop-down menu to be available, the category associated to the job code must be of the appointment type.

Configure the saving location for GEM-CHECK inspection sheets

If you get error messages and cannot save GEM-CHECK inspection sheets, it might be because GEM-CAR intends to save them in an invalid directory. In that case, try to reconfigure this directory. In order to do so, follow the steps below.

  1. From the Point of sale, load any customer profile.
  2. Click on the Documents button.
  3. From the Documents linked to the estimate window, click on the Modify the data folder directory button.
  4. In the Archiving documents directory field, enter c:\vdata\Media.
  5. Click on the validate button.

You could also enter a shared directory in the Archiving documents directory field so that everybody on the network can access the saved GEM-CHECK inspection sheets. To know the path of the shared folder, you may need the help of your network administrator.

Use GEM-CHECK inspection sheets

You can use GEM-CHECK inspection sheets either from the Punch clock or the Point of sale. In the next subsections, you will find the information about how technicians and advisors can use them.

Use GEM-CHECK inspection sheets from the Punch clock

Follow the steps below to use GEM-CHECK inspection sheets from the Punch clock. Technicians can then fill them while working on jobs.

  1. From the Punch clock, start a job that contains a job code configured to use a GEM-CHECK inspection sheet.
  2. Click on the Open digital inspection button. If the button is red, this means that the inspection has not started yet and, if it is orange, that it is not finished. Otherwise, it will be green to indicate that the inspection is finished.
  3. Fill the inspection sheet.
  4. If you need to finish filling the inspection sheet later, click on the diskette button to save. Otherwise, if the inspection is complete, click on the Finish button. You cannot modify the inspection sheet once it has been completed.

Use GEM-CHECK inspection sheets from the Point of sale

Follow the steps below to use GEM-CHECK inspection sheets from the Point of sale. Advisors can then consult inspection sheets that have been filled by technicians.

  1. From the Point of sale, build or retrieve an estimate that contains a job code configured to use a GEM-CHECK inspection sheet.
  2. Click on the F 11 W/O button to consult the inspection sheet. img
  3. From there, you can print the inspection as it is or modify it before printing, but you cannot save changes. To print the inspection sheet, click on the printer button.

Archived GEM-CHECK inspection sheets

Once GEM-CHECK inspection sheets have been saved, they are archived in PDF format and can be consulted later and printed. You can access them from the Point of sale or the Punch clock.

Follow the steps below to consult archived GEM-CHECK inspection sheets from the Point of sale.

  1. Retrieve an estimate or an invoice for which there is a GEM-CHECK inspection sheet.
  2. Click on the Documents button.
  3. From the Documents linked to the estimate window, double-click on the document on the list to open the PDF version of the GEM-CHECK inspection sheet.

Follow the steps below to consult archived GEM-CHECK inspection sheets from the Punch clock.

  1. Select a job in the Punch clock.
  2. Click on the Documents button.
  3. From the Documents linked to the estimate window, double-click on the document on the list to open the PDF version of the GEM-CHECK inspection sheet.
