Inactive customers maintenance

From the Inactive Customer Maintenance window, you can manage inactive customers. You can generate lists of inactive customers sorted according to certain criteria. You can then print this list or labels for envelopes. This can be useful to contact customers to do further business. You can also delete inactive customers to clean your customer lists.

To access the Inactive Customer Maintenance, from the GEM-CAR Main menu, go to Customer Management > Inactive customer maintenance.

Inactive customer lists

Follow the steps below to generate lists of inactive customers. Further actions are available for these lists and they will be detailed in the next sections.

  1. Access the Inactive Customer Maintenance window.
  2. GEM-CAR will consider customers to be inactive when they have not been associated with any work step during a certain period of time. However, you can exclude some work steps from the sorting process by checking the boxes in the Name of process step section.
  3. Enter the date in the MM/dd/yyyy field or use the adjacent calendar button. GEM-CAR will select customers that have been inactive before this date and, if there are inactive customers after this date, they will be ignored.
  4. Click on the Display button to generate the list.

To print inactive customer lists, follow the steps below.

  1. Generate a list of inactive customers.
  2. Consult the list and uncheck customers that you want to exclude from it. You may want to remove customers with a No invoices status in the Last visit column to avoid including potential new customers on it.
  3. Click on the Print button.

To print labels for inactive customers, follow the steps below.

  1. Create a list of inactive customers.
  2. Consult the list and uncheck customers that you want to exclude from the list. You may want to remove customers with a No invoices status in the Last visit column to avoid including potential new customers on the list.
  3. Under the Label parameters section, uncheck options in the Fields to display subsection if you want to exclude these elements on the labels.
  4. Uncheck the Address or Postal code options in the Mandatory values subsection if you want to exclude inactive customers for which these values are missing from the customer profile.
  5. Click on the Print labels button.

Delete inactive customers

To delete inactive customers, follow the steps below. We strongly suggest that you back up the database before deleting customers. Also keep in mind that tax regulations generally require that you keep archives for a seven-(7)-year period.

  1. Create a list of inactive customers.
  2. Consult the list and uncheck customers that you want to exclude from the list. You may want to remove customers with a No invoices status in the Last visit column to avoid including potential new customers on the list.
  3. To delete the selected customers, click on the Delete Selection button. To delete all customers, click on the Delete all button. Doing so, GEM-CAR will ignore the selection in the Inactive Customer List section and delete all customers.

Retrieve deleted inactive customers

Deleted inactive customers with the method above can be retrieved by entering their phone number or customer number in the Customer field from the Point of sale and pressing enter. The customers will be reactivated. The information related to the customers and their vehicle as well as their history will be retrieved. However, appointments and estimates cannot be retrieved.
